Offline Class Policy
1. Applicability
This policy applies to all students attending offline (physical) classes conducted by Swaraa and Thaalaa Cultural Academy at any Academy premises, including but not limited to Mettupalayam, Veerapandi, or any present or future Academy branch, partner institution, or approved teaching venue.
This policy shall be read together with the Academy’s Academic Policy, Fee Policy, Compensation Policy, Refund Policy, Examination Policy, Student Handbook, and any other rules, guidelines, or notifications issued by the Academy from time to time.
By enrolling in or attending offline classes, students and parents acknowledge that they have read, understood, and agreed to comply with this policy.
2. Arrival & Punctuality
Students are expected to arrive at the Academy at least 5 minutes before the scheduled commencement of class to ensure classes begin on time and without disruption.
Students arriving more than 10 minutes late may be permitted to join the remaining portion of the class at the teacher’s discretion. However, the missed portion of the lesson will not be repeated, extended, compensated, refunded, or rescheduled.
Frequent late arrivals or early departures may adversely affect the student’s learning progress, participation, and overall performance. Parents are requested to ensure that students attend classes punctually and remain for the full duration of the session.
3. Parent Waiting Policy
Parents or guardians accompanying students shall remain only in the designated waiting area, where such a facility is available.
Parents shall not enter classrooms, interrupt lessons, distract students, or communicate with teachers during class hours unless specifically requested or permitted by the Academy.
Administrative enquiries relating to admissions, fees, scheduling, examinations, policies, or other non-academic matters should be addressed to the Academy outside teaching hours or through the designated communication channels.
Parents are responsible for ensuring that students are dropped off and collected on time. The Academy shall not be responsible for supervising students who remain on the premises after the scheduled class without prior arrangements.
Parents, guardians, siblings, or accompanying visitors are expected to maintain a quiet and respectful environment so as not to disturb ongoing classes.
4. Personal Belongings
Students are solely responsible for all personal belongings brought to the Academy, including but not limited to mobile phones, jewellery, watches, wallets, cash, bags, books, notebooks, water bottles, footwear, musical instruments, instrument accessories, electronic devices, and other valuables.
The Academy does not provide storage facilities or insurance for personal belongings and shall not be responsible for any loss, theft, misplacement, accidental damage, or deterioration of such items while on the Academy premises or during arrival or departure.
Students are strongly advised not to bring unnecessary valuables or large amounts of cash to the Academy.
5. Academy Property
Students shall treat all Academy property with care, respect, and responsibility.
Academy property includes, but is not limited to:
Veenas and other Academy-owned musical instruments
Electronic Shruthi Boxes
Sound systems, microphones, amplifiers, speakers, and audio equipment
Mats, carpets, mirrors, chairs, tables, and other furniture
Whiteboards, notice boards, markers, and classroom teaching aids
Fans, lights, switches, plug points, and electrical fittings
Doors, windows, locks, glass panels, and other fixtures
Washrooms and sanitary facilities
Flooring, walls, ceilings, and classroom interiors
Books, notation materials, printed resources, and other Academy learning materials
Computers, electronic devices, and any other equipment owned by the Academy
Students shall not misuse, alter, relocate, dismantle, remove, write on, deface, damage, or interfere with any Academy property without prior permission.
Any defect, malfunction, damage, or unsafe condition observed by a student should be reported immediately to the teacher or Academy staff.

6. Damage to Academy Property
Students are expected to exercise due care while using or being in the vicinity of Academy property and equipment.
Parents or guardians shall be financially responsible for any loss or damage caused by the student through negligence, misuse, carelessness, vandalism, or failure to follow the Academy’s instructions.
The Academy reserves the right to recover, where applicable:
Repair charges
Replacement cost
Installation or transportation charges
Cleaning or restoration charges
Any additional expenses reasonably incurred due to the damage
The Academy’s assessment of the nature of the damage and the applicable repair or replacement cost shall be final and binding.
Where damage is caused by a sibling, accompanying child, parent, guardian, or visitor brought by the student, the registered student’s parent or guardian shall remain responsible for the applicable charges.
The Academy may suspend the use of facilities, withhold participation in classes, or take other appropriate action until the matter has been satisfactorily resolved.
7. Instrument Handling
Students shall not touch, move, tune, carry, adjust, play, dismantle, or otherwise handle any Academy-owned musical instrument unless specifically instructed or authorised by the teacher.
Academy instruments are to be used strictly for educational purposes under the supervision of the teacher.
Students shall handle all Academy instruments with care and shall immediately report any defect, damage, or malfunction noticed before or during use.
Improper handling, misuse, negligence, or unauthorised use resulting in damage may attract repair or replacement charges as determined by the Academy.
Students shall not remove any Academy-owned instrument or equipment from the premises without prior written approval from the Academy.
8. Veena Responsibility
Students who bring their own Veena to the Academy do so entirely at their own risk and are solely responsible for its transportation, lifting, carrying, handling, tuning, maintenance, storage, security, and safekeeping at all times.
Students shall ensure that their Veena is handled carefully and placed only in locations designated or approved by the teacher. Veenas shall not be left unattended in passages, entrances, exits, waiting areas, or any location that may obstruct movement or create a safety hazard.
Parents and students are responsible for ensuring that the Veena is packed securely in an appropriate case or cover while being transported to and from the Academy. The Academy does not provide storage facilities, lockers, insurance, or security for personal musical instruments or their accessories.
The Academy, its teachers, coordinators, staff, volunteers, and representatives shall not be liable for any loss, theft, misplacement, accidental damage, scratches, dents, cracks, breakage, deterioration, environmental damage, transportation-related damage, or any other loss or damage to a student’s Veena or its accessories, including but not limited to the Veena stand, cover, case, tuning accessories, electronic accessories, or other personal belongings, whether such loss or damage occurs before, during, or after class, while on the Academy premises, or during arrival or departure.
The Academy shall not be responsible for handling, lifting, carrying, transporting, loading, unloading, assembling, disassembling, tuning, repairing, maintaining, or storing any student’s personal Veena unless expressly agreed to by the Academy. Any assistance voluntarily provided by the Academy’s teachers or staff shall be rendered purely as a courtesy and shall not create any responsibility or liability on the part of the Academy.
Students and parents are strongly advised to inspect the instrument before leaving the Academy premises and to obtain appropriate insurance coverage for valuable instruments if desired.
9. Cleanliness
Students shall help maintain a clean, hygienic, and respectful learning environment at all times.
Students shall:
Dispose of waste only in designated dustbins.
Keep classrooms, waiting areas, and common spaces clean and tidy.
Avoid eating inside classrooms unless specifically permitted by the teacher.
Keep food and beverages away from musical instruments, electronic equipment, and Academy property.
Refrain from writing, drawing, sticking labels, or causing marks on walls, mirrors, furniture, floors, doors, windows, or any Academy property.
Leave the classroom in a clean and orderly condition after each class.
Parents and accompanying visitors are also expected to maintain cleanliness within the Academy premises.
10. Safety
The safety and well-being of all students, parents, teachers, staff, and visitors is of utmost importance.
Students shall behave responsibly at all times and shall not engage in any activity that may endanger themselves or others.
The following are strictly prohibited:
Running inside classrooms, corridors, or waiting areas.
Pushing, fighting, rough play, or bullying.
Climbing on furniture, railings, staircases, windows, or Academy structures.
Throwing objects or engaging in unsafe behaviour.
Tampering with electrical fittings, switches, equipment, or fire safety devices.
Entering restricted areas without permission.
Students shall immediately inform the teacher or Academy staff of any accident, injury, damaged equipment, hazardous condition, or safety concern.
Parents and guardians are expected to supervise accompanying young children and ensure that they do not interfere with classes or create unsafe situations within the Academy premises.
11. Food & Drinks
To maintain cleanliness and protect Academy property, food is generally not permitted inside classrooms.
Only drinking water may be brought into classrooms unless otherwise approved by the teacher or the Academy.
Students shall ensure that food, beverages, chewing gum, or other consumables are not brought near musical instruments, electronic equipment, furniture, or teaching materials.
Any spills, stains, or damage caused by food or drinks may result in the parent or guardian being responsible for the cost of cleaning, repair, or replacement, where applicable.
12. Mobile Phones & Electronic Devices
Students shall keep mobile phones, smart watches, tablets, and other electronic devices on silent mode during class.
The use of mobile phones or electronic devices during lessons is prohibited unless specifically authorised by the teacher for educational purposes.
Students shall not make or receive phone calls, browse the internet, play games, use social media, or engage in any activity that disrupts the class.
The Academy shall not be responsible for the loss, theft, or damage of any electronic device brought to the premises.
13. Photography & Recording
Photography, audio recording, video recording, live streaming, or any other form of recording inside the Academy premises is prohibited without the prior written permission of the Academy.
Students, parents, guardians, and visitors shall not record teachers, classes, examinations, rehearsals, or fellow students without prior approval.
Unauthorised recording, publication, distribution, or sharing of Academy classes, teaching materials, lesson content, photographs, videos, or recordings through social media, messaging platforms, websites, or any other medium is strictly prohibited unless expressly authorised by the Academy.
The Academy reserves the right to take appropriate disciplinary or legal action in the event of any unauthorised recording or distribution of Academy content.
14. Health & Hygiene
Students who are suffering from fever, contagious illnesses, infectious diseases, or any medical condition that may pose a risk to others should not attend offline classes until they are medically fit.
Parents or guardians are responsible for informing the Academy of any medical condition, allergy, injury, disability, or other health concern that may require special attention during classes.
Students are expected to maintain good personal hygiene and attend classes in a clean and presentable manner.
The Academy reserves the right to request that a student return home if the student appears unwell or if continued attendance may affect the health, safety, or well-being of others.
15. Footwear
Students and visitors shall keep their footwear only in the designated footwear area provided by the Academy.
Footwear shall not be left inside classrooms, corridors, entrances, exits, staircases, or any area that may obstruct movement or create a safety hazard.
The Academy shall not be responsible for the loss, theft, misplacement, or damage of footwear kept on the Academy premises.
16. Visitor Policy
Only registered students are permitted inside classrooms unless otherwise approved by the Academy.
Parents, relatives, friends, siblings, guests, or other visitors shall not enter classrooms or participate in classes without prior permission from the Academy.
Visitors shall comply with all Academy rules while on the premises and shall conduct themselves in a respectful manner.
The Academy reserves the right to refuse entry to or request the departure of any visitor whose behaviour is considered disruptive, inappropriate, unsafe, or inconsistent with the Academy’s policies.
Parents or guardians shall remain responsible for the conduct and safety of any sibling, accompanying child, or visitor brought to the Academy.
17. Respectful Behaviour
Students, parents, guardians, visitors, teachers, coordinators, and staff are expected to treat one another with courtesy, dignity, and respect.
The following conduct is strictly prohibited:
- Abusive, offensive, or inappropriate language.
- Harassment, bullying, discrimination, intimidation, or threats.
- Physical or verbal misconduct.
- Intentional disruption of classes or Academy activities.
- Damage to Academy property or the property of others.
- Behaviour that affects the safety, learning environment, or reputation of the Academy.
The Academy reserves the right to take appropriate disciplinary action, including issuing warnings, suspension, termination of enrollment, or refusal of future admission, without refund where considered appropriate.
18. Attendance & Academy Class Commitment
The Academy is committed to conducting all scheduled regular classes included in the student’s monthly plan.
If a student is absent for any reason that is not eligible under the Academy’s Compensation Policy, the missed class shall be treated as attended and shall not be repeated, refunded, adjusted, carried forward, or compensated.
If the Academy is unable to conduct a scheduled class due to a teacher’s absence or any other Academy-related reason, the Academy will arrange a replacement or compensation class.
Replacement or compensation classes shall be scheduled solely by the Academy based on teacher and batch availability.
Students are expected to attend the replacement class on the date and time allotted by the Academy.
The Academy is not obligated to provide multiple replacement timings or alternative schedules based on individual convenience.
If a student fails to attend the scheduled replacement class, the class shall be treated as completed, and no further compensation, refund, credit, adjustment, or carry-forward shall be provided.
The Academy guarantees only the number of regular classes included in the student’s monthly plan. Students are equally responsible for attending all scheduled classes and any Academy-arranged replacement classes.
19. Liability
The Academy shall not be responsible for any injury, accident, illness, loss, theft, damage, delay, inconvenience, or expense arising directly or indirectly from:
- A student’s negligence or misconduct.
- Failure to follow Academy rules or teacher instructions.
- Misuse of Academy facilities or equipment.
- Unsafe behaviour by students, parents, guardians, visitors, or accompanying children.
- Loss or damage to personal belongings or musical instruments.
- Circumstances beyond the reasonable control of the Academy.
Nothing in this policy shall exclude or limit any liability that cannot lawfully be excluded under applicable law.
20. Academy’s Right to Recover Damages
Where Academy property is damaged due to negligence, misuse, vandalism, or intentional misconduct, the Academy reserves the right to:
- Recover the full repair or replacement cost.
- Recover any transportation, installation, restoration, or associated expenses.
- Suspend classes until the matter has been resolved.
- Restrict access to Academy facilities.
- Refuse future enrollment in cases of repeated misconduct.
- Initiate appropriate legal proceedings where necessary.
The Academy’s assessment of the extent of damage and the applicable charges shall be final.
21. CCTV & Security
Where CCTV systems are installed, they are used solely for safety, security, administrative, disciplinary, and property protection purposes.
The Academy reserves the right to review CCTV recordings while investigating accidents, misconduct, safety concerns, property damage, or violations of Academy policies.
CCTV recordings shall remain the property of the Academy and may be disclosed only where required by law or for legitimate Academy purposes.
22. Parking
Vehicles, bicycles, scooters, and other modes of transport parked inside or outside the Academy premises are parked entirely at the owner’s risk.
The Academy shall not be responsible for any theft, loss, accident, damage, or deterioration of vehicles or belongings left inside them.
Parents and visitors are requested to park responsibly and comply with all applicable traffic regulations.
23. Acceptance
By enrolling in or attending offline classes conducted by Swaraa and Thaalaa Cultural Academy, students and parents acknowledge that they have read, understood, and agreed to comply with this Offline Class Policy.
Any exception, concession, or relaxation granted by the Academy shall be considered a one-time discretionary decision and shall not create any future entitlement or precedent.
24. Force Majeure
The Academy shall not be liable for any delay, interruption, postponement, cancellation, or inability to conduct offline classes due to circumstances beyond its reasonable control, including but not limited to natural disasters, floods, fire, severe weather conditions, epidemics, pandemics, government orders or restrictions, strikes, civil disturbances, power failures, internet or communication failures affecting Academy operations, or any other unforeseen event.
Where reasonably practicable, the Academy may reschedule affected classes. However, the Academy shall not be liable for any indirect, consequential, or incidental loss, expense, or damages arising from such events.
25. Right of Admission & Continuation
Admission to Swaraa and Thaalaa Cultural Academy is solely at the discretion of the Academy.
The Academy reserves the right to refuse admission, suspend, or terminate a student’s enrollment, with or without prior notice, where continued participation is considered detrimental to the safety, discipline, learning environment, reputation, or interests of the Academy, its teachers, staff, or students.
The Academy’s decision regarding admission, continuation, suspension, or termination shall be final and binding.
26. Medical Emergencies
Parents or guardians are responsible for providing accurate emergency contact details and informing the Academy of any medical conditions, allergies, disabilities, injuries, or health concerns that may require special attention during classes.
In the event of an illness, accident, or medical emergency, the Academy may make reasonable efforts to contact the parent or guardian immediately.
Where immediate medical attention is considered necessary, the Academy may arrange emergency medical assistance or transportation to an appropriate medical facility.
Any expenses relating to medical consultation, treatment, transportation, medication, hospitalisation, or emergency care shall be the sole responsibility of the student’s parent or guardian.
The Academy shall not be liable for any medical outcome arising from such emergencies.
27. Lost & Found
Items found on the Academy premises may be retained by the Academy for a reasonable period.
Unclaimed items remaining beyond such period may be disposed of, donated, recycled, or otherwise dealt with at the Academy’s discretion without any liability.
The Academy shall not be responsible for tracing, recovering, or safeguarding lost personal belongings.
28. Dress Code
Students shall attend classes in clean, neat, modest, and appropriate attire suitable for the respective course.
Students attending Bharatanatyam classes shall wear the attire prescribed by the Academy for regular classes, rehearsals, examinations, performances, and Academy events.
Students shall maintain good personal hygiene and present themselves in a manner that promotes a safe, respectful, and professional learning environment.
29. Valuables
Students are strongly advised not to bring unnecessary valuables, expensive jewellery, large amounts of cash, or costly electronic devices to the Academy.
Any valuables brought to the Academy shall remain entirely at the owner’s risk.
The Academy shall not be responsible for any loss, theft, misplacement, or damage to such items.
30. Washroom & Personal Care
Parents or guardians shall ensure that young children requiring assistance with personal care or washroom use are appropriately accompanied wherever necessary.
The Academy’s teachers, coordinators, and staff are not responsible for providing personal care, changing clothes, assisting with toileting, administering medication, or supervising students inside washrooms except where immediate assistance is required in an emergency.
Parents are requested to ensure that children use the washroom before class wherever reasonably possible.
31. Promotional Photography & Media
The Academy may photograph, audio record, or video record classes, rehearsals, examinations, workshops, concerts, competitions, cultural programmes, or other Academy activities for educational, archival, promotional, marketing, social media, website, brochure, or publication purposes.
Parents or students who do not wish to appear in such photographs or recordings must notify the Academy in writing before participating in the relevant activity.
The Academy shall make reasonable efforts to respect such requests where practicable.
32. Amendments, No Waiver & Severability
The Academy reserves the absolute right to modify, amend, update, interpret, or replace this Offline Class Policy at any time. The latest published version shall supersede all previous versions and shall be binding upon all students and parents from the date of publication.
Any concession, relaxation, exception, or discretionary decision granted by the Academy on any particular occasion shall not constitute a waiver of any provision of this policy or create any future entitlement or precedent.
If any provision of this policy is found to be invalid, illegal, or unenforceable by a court or competent authority, the remaining provisions shall continue to remain valid and enforceable to the fullest extent permitted by law.
33. Governing Law & Jurisdiction
This Offline Class Policy shall be governed by and construed in accordance with the laws of India.
Any dispute arising out of or relating to this policy, the student’s enrollment, or any Academy-related matter shall be subject to the exclusive jurisdiction of the competent courts having jurisdiction over the location of the Academy’s registered office.
34. Severability
If any provision of this Offline Class Policy is held to be invalid, illegal, or unenforceable by any court or competent authority, such provision shall be deemed severable and shall not affect the validity or enforceability of the remaining provisions, which shall continue to remain in full force and effect.
35. Entire Agreement
This Offline Class Policy shall be read together with the Academy’s Academic Policy, Fee Policy, Compensation Policy, Refund Policy, Examination Policy, Privacy Policy, Student Handbook, Code of Conduct, and any other Academy policies, rules, guidelines, notices, or official communications issued from time to time.
In the event of any inconsistency between Academy policies, the Academy’s interpretation shall prevail and shall be final.
36. Final Acceptance
By applying for admission, enrolling in, making payment for, or attending offline classes conducted by Swaraa and Thaalaa Cultural Academy, students and parents acknowledge that they have carefully read, understood, and voluntarily agreed to comply with this Offline Class Policy in its entirety.
Parents and students further acknowledge that they have had sufficient opportunity to seek clarification regarding any provision of this policy before enrollment.
Failure to comply with this policy may result in disciplinary action, suspension, termination of enrollment, recovery of damages, restriction of Academy facilities, or any other action deemed appropriate by the Academy in accordance with its policies and applicable law.
The Academy’s decision regarding the interpretation and implementation of this policy shall be final and binding in all matters relating to student conduct, administration, and Academy operations.
