Swaraa and Thaalaa Cultural Academy
Effective Date: August 3, 2026
By enrolling in Swaraa and Thaalaa Cultural Academy, making any payment, attending a trial class, attending regular classes, or continuing your participation in any Academy programme, you acknowledge that you have read, understood, and agreed to this Refund Policy. This Refund Policy shall be read together with the Academy’s Student & Parent Policy Handbook. In the event of any inconsistency, the Academy’s interpretation shall be final.
Refunds will be considered only under the circumstances specifically mentioned below. Except for these situations, all fees paid to the Academy shall be non-refundable and non-transferable.
If a student chooses not to continue after enrolling due to a change of mind, unwillingness to attend, personal preference, relocation, or any similar reason, refunds shall not be provided after the expiry of the cooling-off period.
If a parent requests cancellation:
within 48 hours of making the initial payment, and
before attending the first class,
the Academy will refund 90% of the amount paid, retaining 10% towards administrative, registration, payment gateway, and processing charges.
Once either:
the first class has been attended, or
48 hours have elapsed after payment,
whichever occurs earlier, no refund shall be applicable under this clause.
If a student is unable to attend classes due to an unforeseen medical illness:
a medical certificate issued by a registered medical practitioner must be submitted;
the illness must prevent attendance for at least 7 consecutive days or two scheduled classes, whichever is applicable;
supporting documents must normally be submitted within 7 days of the illness.
Upon verification, the Academy may process a refund of 95% of the eligible pro-rata tuition fee relating only to the affected unused classes.
Registration fees, already conducted classes, administrative charges, payment gateway charges, and learning materials shall not be refunded.
For prolonged illness extending over multiple months, each month’s request shall be assessed separately based on updated medical documentation.
If a parent accidentally pays:
more than the required fee; or
makes an incorrect payment,
the Academy should be informed immediately.
After verification, the Academy will either:
refund 100% of the excess amount, or
adjust the excess amount towards future Academy fees if requested by the parent.
Refunds will normally be processed within 7–10 business days.
If the Academy changes a student’s confirmed schedule after enrollment, and the revised schedule genuinely makes continued attendance impossible for the student, the Academy may:
provide an alternative batch;
provide another suitable teacher;
provide another suitable schedule; or
where no reasonable alternative is available, refund the remaining unused pro-rata tuition fee.
The Academy’s decision regarding the availability of alternative schedules shall be final.
If the Academy accidentally receives duplicate payment for the same course and period, the duplicate amount shall be refunded after verification.
Refunds will normally be processed within 5–7 business days.
This policy governs missed classes only.
Compensation classes are provided solely at the Academy’s discretion in accordance with the Student & Parent Policy Handbook and are subject to teacher availability and scheduling feasibility.
Students enrolled for 8 classes per calendar month may request:
If the student expects to miss 3 or more consecutive classes because of travel, examinations, or another planned reason:
written notice must be given at least 7 days in advance;
approval is subject to Academy discretion.
A maximum of 4 classes may be carried forward.
If a student misses 1 or 2 classes, the Academy must be informed at least 2 hours before the scheduled class.
If approved, the student may receive a compensation class subject to:
teacher availability;
batch availability;
Academy scheduling.
Maximum:
2 approved compensation classes per calendar month.
Students enrolled for 6 classes per calendar month may receive a maximum of 2 compensation classes, subject to:
prior notification;
teacher availability;
Academy approval.
Compensation classes:
are scheduled only by the Academy;
cannot be selected by the parent;
cannot be demanded on a specific day or time;
cannot be transferred;
cannot be exchanged;
cannot be converted into fee credits;
cannot be refunded;
cannot be carried forward again once scheduled.
If the student misses the scheduled compensation class, joins late, disconnects repeatedly, or is absent, the compensation class shall be treated as utilised.
The Academy reserves the sole right to determine:
the date;
the time;
the teacher;
the batch; and
the manner in which compensation classes are scheduled.
Administrative Note
Where operationally required, the Academy may adjust approved compensation classes within the student’s ongoing timetable or through a separately scheduled session. Such administrative scheduling shall not reduce the student’s entitlement to the regular monthly classes covered by the applicable fee.
Compensation classes will not be provided for:
travel;
vacations;
family functions;
weddings;
school events;
examinations;
forgetting the class;
oversleeping;
internet issues;
electricity failure;
technical issues;
device malfunction;
non-payment of fees;
late payment;
lack of practice; or
any other reason not approved by the Academy.
The following shall not be refunded unless specifically mentioned above:
Registration Fee
Payment Gateway Charges
Administrative Charges
Learning Materials
Completed Classes
Trial Class Fee (where applicable)
Refunds shall be made only to the original payer using the original payment method wherever possible.
The Academy reserves the right to request reasonable supporting documents before processing any refund.
Any refund approved under this policy shall constitute full settlement of the relevant claim.
