Revised Refund and Classes/Fee Carry Forward Policy (Corrected Version)

Effective Date: June 15, 2025

By enrolling in Swaraa and Thaalaa Cultural Academy, paying fees, or continuing your participation in our programs, you explicitly agree to the terms outlined in this Refund Policy and Enrollment Agreement. We recommend reviewing this policy before making any payments.

1. Refund Policy

Refunds are processed based on the following specific scenarios:

1.1. Unwillingness to Attend (Change of Mind): * If you choose to withdraw from a course due to unwillingness to attend after the initial 48-hour cooling-off period following payment/first class, no refunds will be provided. * Cooling-Off Period: For withdrawals made within 48 hours of your initial fee payment or before the commencement of the first class, whichever is earlier, we will initiate a refund of 90% of the course fee, retaining 10% for administrative processing.

1.2. Unforeseen Sickness (Medical Reason): * If a student is unable to attend classes due to an unforeseen illness, you must provide a valid medical certificate from a registered medical practitioner. * To be eligible for a refund, the illness must prevent attendance for a minimum of 7 consecutive days or 2 scheduled classes, and the medical certificate must be submitted to the Academy within 7 days of the illness onset. * Upon verification, we will initiate a refund of 95% of the pro-rata fee for the classes that could not be attended during the documented period of illness. For prolonged illnesses requiring continuous absence, pro-rata refunds will be assessed on a monthly basis, contingent on continuous medical documentation.

1.3. Excess or Wrong Fee Payment: * If you accidentally paid an extra amount or the wrong fee, you must notify the Academy immediately upon discovery. * Upon verification, we will initiate a 100% refund of the excess amount within 7-10 business days. * Alternatively, you may choose to have the excess amount carried forward as credit towards future fees.

1.4. Academy-Initiated Schedule Conflict: * If a scheduling conflict arises from the Academy’s side that was not communicated at the time of enrollment, making it genuinely impossible for the student to attend live sessions, we will initiate a refund of 100% of the remaining pro-rata fee. The conflict must render continued attendance of the specific scheduled live sessions unfeasible for the student.

1.5. Duplicate Enrollment: * If you were unknowingly charged twice for the same course due to an Academy error, we will initiate a refund of 100% of the duplicate charge within 5-7 business days upon verification.

2. Classes Carry-Forward & Make-Up Policy

This policy outlines options for missed classes based on your monthly schedule.

2.1. For 8 Classes Per Month Schedule: * Planned Absences (Carry-Forward): If you anticipate missing 3 or more consecutive classes due to a foreseen reason (e.g., travel, exams), you must provide the Academy with at least 7 days’ prior written notice before the first missed class. Upon approval, those specifically notified missed classes may be carried forward to the next month’s enrollment, subject to a maximum of 4 classes carried forward per month. * Unplanned Absences (Make-Up Class): If you need to miss 1 or 2 classes (for which prior carry-forward notice was not given), you must inform the Academy at least 2 hours before the scheduled class time. This will make you eligible for a ‘make-up class’. Make-up classes are subject to instructor availability and may be scheduled as a group session or individual slot determined by the Academy. There is a maximum of 2 make-up classes per month.

2.2. For 6 Classes Per Month Schedule: * Unplanned Absences (Make-Up Class): If you need to miss 1 or 2 classes, you must inform the Academy at least 2 hours before the scheduled class time. This will make you eligible for a ‘make-up class’. Make-up classes are subject to instructor availability and may be scheduled as a group session or individual slot determined by the Academy. There is a maximum of 2 make-up classes per month.

2.3. General Conditions for Make-Up Classes: * No Further Carry-Forward: Missed make-up classes cannot be further compensated or carried forward. * No Compensation Without Notice: If you miss a class without providing the required minimum notice, no compensation or carry-forward option will be provided for that missed class.
